Speaker terms
1. Organiser and scope
These terms govern speaker applications to Italia Nomad Fest, organised by BEET S.R.L. BENEFIT, Via XX Settembre 65, 90141 Palermo, Italy, VAT number 07106580827. Contact: info@italianomadfest.com.
2. Application and selection
Submitting an application does not guarantee acceptance or a place in the programme. The festival team reviews proposals and communicates its decision to the applicant. Any automated score only supports the review; the team makes the final decision.
3. Format, duration and schedule
A talk is a presentation on a broad or specific topic, typically lasting 10–20 minutes. A keynote is a central, headline address that helps set the theme and inspiration for the event, typically lasting 30–40 minutes. Workshop and panel proposals are also welcome. Proposed format, duration, date and time are preferences and will be confirmed with the speaker according to the conference schedule.
4. Information and materials
Applicants provide accurate information and confirm that they have the necessary rights to submitted text, photographs, logos and other materials. They must not include confidential information or third-party materials without permission. Ownership remains with the respective rights holders.
5. Public profile
Submitted information and materials are used to assess the application. If approved, the applicant’s name, job title, biography, proposal, image and professional links may be used in the speaker profile and programme communications, in accordance with the consent given in the form. Email addresses and information intended for internal review are not automatically published. Applicants may contact the team to request corrections.
6. Photography, filming and recording authorisation
By accepting these terms and the authorisation expressly referenced in clause 10, the speaker authorises BEET S.R.L. BENEFIT (the “Organiser”) to photograph, film, audio-record and otherwise capture their image, voice, name and likeness during their participation in Italia Nomad Fest.
The speaker grants the Organiser a non-exclusive, worldwide, royalty-free authorisation to use, reproduce, edit, adapt, publish, distribute and communicate these materials to the public, in full or in excerpts, in digital or print media and formats, for purposes connected with the documentation, communication and promotion of Italia Nomad Fest and its future editions. These uses include websites, social media, press releases, newsletters and other festival promotional materials.
Editing and adaptation must respect the speaker’s dignity and reputation and must not misleadingly change the meaning of their contribution. This authorisation does not transfer ownership of the speaker’s content or cover uses unrelated to the stated purposes.
The speaker understands that they will not receive fees, royalties or other financial compensation for the uses authorised by this clause. Any separate written agreements concerning speaking fees, expenses or hospitality remain unaffected.
Consent may be withdrawn by emailing info@italianomadfest.com, without affecting the lawfulness of processing carried out before withdrawal. The rights described in the Privacy Policy remain available.
7. Fees and expenses
An application does not establish an agreement on fees, travel, accommodation, reimbursements or other benefits. Any financial or hospitality arrangements must be agreed in writing with the organiser before commitments or expenses are incurred.
8. Participation and changes
Selected speakers coordinate materials and technical requirements with the team, respect the final schedule and treat attendees and fellow participants respectfully. Speakers must notify the organiser promptly if they can no longer attend. Programme changes will be communicated to affected speakers.
9. Personal data and communications
The website’s Privacy Policy explains how personal data is processed. The application copy and selection correspondence are service communications. Applying does not automatically subscribe the applicant to promotional newsletters.
10. Acceptance and contact
By selecting the acceptance checkbox in the application form, applicants confirm that they have read and accepted these terms. By accepting, they expressly authorise photography, filming and recording of their participation and royalty-free use of these materials to document, communicate and promote Italia Nomad Fest and its future editions, within the scope and conditions of clause 6 and the Privacy Policy. For questions, updates or withdrawal of an application, contact info@italianomadfest.com.
